A sponsorship package represents the items, recognition or services that your organization will provide to a business or corporate partner in return for their support (financial or in-kind) for your event. Remember the “what’s in it for me” mentality from the business’ perspective. Ensure that your sponsorship levels offer enough difference between levels to justify the different cash values. Also consider how your organization will recognize in-kind donations. For example, if the presenting sponsorship level is $20,000 but your corporate donor can offer $10,000 to you with their paid media support, i.e. advertising of your event on local radio and TV partners (which they pay for) you can consider this amount as part of their total sponsorship. Think of possible other ways that you can leverage in-kind support in this way. Many businesses have items or services to offer for your event that can be combined to increase your number of sponsors. With regard to these partners donating auction items, your group will want to develop a policy about how these items will or won’t be counted toward sponsorship. It is always prudent to have a hard and fast policy and have the right of refusal (especially on auction items) for things that either aren’t appropriate or won’t bring true value to your event.
You are creating a contract with this partnership which is a legal agreement. It is critical that what you offer as sponsorship benefits are fulfilled. Equally critical is that the sponsors pays for these benefits. Many organizations require a full payment up front before any benefits are delivered. It is much easier to get payment before the event vs. after even if you have a contract.
